Setting grouping of views

With a grouping in a table view, you group the lines in the table view according to the contents of a selected field. You can open and close groups for quick access to the items in the group. In a table view you can group the items in up to five subsequent groups. The lower group groups the items within the higher group.

With a grouping in a chart view, you make groups of items represented in the chart. For example, a slice in a pie chart represents a group of items. The size of the slice depends on the number of items or a total calculated from the field. In a chart view, you can group the items only according to one field.

To group items in a view:

  1. In the Group By dialog box, select a field from the Group Items By list. For grouping you can select any information fields in the item and the fields of items referred to in the current item.
  2. Select a sorting order. When you select Ascending, the groups are sorted from small to large. When you select Descending, the groups are sorted from large to small.
  3. If you want to highlight the selected field in a column of the table view or if you want to show the name of the selected field in a chart view, select Show Field. If the field should not be highlighted, clear the Show Field check box.

You may want to open the view with closed groups. With closed groups, you will see only the group names, not the items. The group names give you an immediate overview of the items. Open a group to find more detail, by clicking the plus sign.

To set the view to open with closed groups, click All collapsed in the Expand/Collapse Default list.
To set the view to open with expanded groups, click All expanded in the Expand/Collapse Default list.
